Coronavirus Member Letter – Harvest 2020

 
UPDATE AS OF NOVEMBER 17, 2020: With the current rate of COVID-19 cases rising in Iowa, ALL customers and employees are required to wear masks upon entry to ANY Two Rivers Cooperative facility until further notice.

Dear Two Rivers Cooperative Customer,

What a last six months we have all witnessed!! From the start of the COVID-19 pandemic last winter through the Derecho that struck Iowa a few weeks ago, it has certainly been a time that has challenged all of us. Please know our thoughts and prayers are with each and every one of you and we are hopeful you have been able to weather not only the actual storm but also the mental storm these challenges have thrown our way.

Please note, the most important thing to us is that we continue to provide you with the best possible personalized service through these challenging times. We take our responsibility to protect our most important assets (our customers, our employees and our communities) very seriously.

As I am writing this, the reports we are being provided show COVID numbers increasing in Marion County with a greater than 15% positivity rate. Please know we have had long, sometimes intense, discussions related to how to accomplish the task of protecting you, our employees and your cooperative. Providing the services you have come to expect from your cooperative during this upcoming harvest season has been our primary focus.

With that in mind we are going to implement the following RECOMMENDATIONS as we move into harvest. These steps are being taken to limit possible exposures to you or to our employees. We certainly don’t want to panic; we do feel at this time it is appropriate to take these steps to help protect everyone involved.

We understand how important harvest is to your operation and our goal in taking these precautions is to allow you to deliver your grain as safely as possible.

We will NOT be requiring you to wear a mask upon entering our facilities but we will respect those who prefer to do so.

At this time, we are implementing the following actions:

  • Plexiglass shields will be installed at our counters to limit direct contact.
    • Our employees will have masks available to wear when they are providing service to customers.
  • Hand sanitizing stations will be available at the entry doors to each location. Please use them when entering our facilities.
  • While delivering grain to any of our facilities:
    • Scale Operations
      • Please communicate type of grain, ownership of grain and farm name by:
        • CB Radio (Channel will be posted outside by scale), or
        • Cell Phone (Office number will be posted outside by scale), or
        • Sign in window of vehicle.
      • When face-to-face interaction is necessary, please follow CDC social distancing guidelines.
    • Dump Pit Operations
      • Please consider remaining in your vehicle at the dump pits. Our staff will unload your grain and let you know when the process has been completed.
      • If you do choose to exit your vehicle to stretch your legs, etc., please maintain CDC guidelines for social distancing.
  • Following unloading, please consider one of the following options to collect scale tickets:
    • We can hold scale ticket copies until the end of the day for your pickup,
    • We can hold scale ticket copies till end of day and mail them to you if you prefer (Just let us know),
    • If you do prefer to pick up your scale ticket after each load to ensure proper names on ownership or to check grades, please practice social distancing and we recommend (NOT REQUIRED) you consider wearing a protective mask when you enter the office.
  • For your convenience, we will continue to provide grain sample testing as in the past. Please plan to dump your sample into our sample container to prevent hand to hand contact.
  • To limit exposure to patrons and employees during pickup or delivery of all products,
    • Feed mill operations/deliveries will continue with limited access by outside vendors and ingredient delivery personnel to feed mill facilities.
    • Please call ahead for products to be picked up at our facilities. At arrival, please call and we will load your vehicle while you wait.
  • Limit personal contact in each office setting.
    • All breakrooms & public gathering areas are closed to visitors until further notice.
  • Adhere to CDC guidelines to restrict group gatherings to 10 people or less. We ask for your help and cooperation in minimizing personal interactions.
  • We will be supportive to any employees that may become exposed to COVID-19, have immediate family that have been exposed and/or working parents that have schools or daycare closed.
    • Please note, if we do have a positive case among our staff, we are required to follow the guidelines which will be determined by the Marion County Board of Health related to contact tracing, quarantines and/or testing.

Please understand we know some of these minor adjustments we are making are going to be hard to remember.  But we feel with these adjustments we will be able to protect you, our employees and your cooperative. We believe these adjustments will also allow us to be the least disruptive to the normal harvest procedures you have been accustomed too.
